Thank you all for agreeing to participate in the BIM Symposium, and sharing some of your insights with our audience.  From the various phone and email contacts we have had with you so far, you should have a general idea of what your role is as a presenter, but this Guide will hopefully fill in the gaps, as well as let you know a number of other things.

The General Format

After much discussion with the many people who had input to how this particular symposium should work, it was agreed that the audience would gain the most from short, concise, mini-presentations  --  more than an extended introduction to you and what your firm does, but not quite a real overall presentation -- followed by a panel-type set of questions asked of all the speakers.   Thus it is a kind of combination presentation-panel.

Given the relatively brief time for the indivdual workshops (1.5 hours) and the need to cover a number of topics and hear various viewpoints, we need to keep each individual presentation short.  Most probably, any one of us could easily speak on these issues by ourselves for an hour and a half (and more).  Keep in mind that we need to hear several viewpoints.  So unless you have been specifically asked to speak at greater length (a few of you have) then you should probably shoot for speaking only around 12 to 14 minutes.  With, on average, four or five speakers/panelists in each workshop, that leaves just enough time for a few questions.

This type of audience  (80% architects), would like to have at least a few VISUALS.  Even if it is just a jpeg slide of your company logo, so they can identify what your role is as you are speaking, that is important.  Depending on your specific topic, if you have any other images - even if it is merely a screen-capture of the software doing something, that helps a lot.


At each Workshop :

1.  Prof. Langdon will welcome the audience, give an outline of what this particular workshop is within the symposium, collect the opening surveys of  the audience,  encourage participants to sign up for the other BIM workshops, and briefly introduce the speakers
2.  At the beginning of several of the workshops, Richard Keleher,  Architect   AIA,  CSI,  LEED,  AP  who represented the BSA at the AIA national symposium on BIM in October, will share with us some of what that symposium brought forward
3.  Prof. Langdon will call on each speaker.   They should make it clear what they and their firm does, and how they use BIM software.   Note that you CAN say what software you are using.  (see the note below on advertising)
4.  After all the speakers have done their thing, Prof. Langdon will present the speakers with panel-questions, there may also be some audience questions
5.  At the conclusion, Prof Langdon will tell the audience about the new BSA committee - the BIM Roundtable, as well as the BSA Committee on Design Software, the CADD committiees, and invite people to join them,
he will also introduce the topic(s) for the 30 minute informal discussion-forum immediately following the workshop

Omni-BIM Friendly

At this point in time, we realize that the lack of file-exchange between BIM software platforms results in several different CADD-software-specific BIM "camps" with rivalry sometimes bordering on frenetic.  Our audience would gain the most from hearing your comments in a GENERAL milieu of BIM-capability.  Keep in mind that all the products from Autodesk (Revit, etc.), Graphisoft (ArchiCAD, etc.), Bentley (MicroStation, etc.), and many more are in an extremely rapid time of change and revision.  Every time I try to mention some specific feature that such and such software does or doesn't do, I will find, in a large audience someone saying that "yea it does ... you need to use such and such work-around", or they just revised the software, or the feature is available through this and such add-on from a third party. 

Thus, you should just assume that when you are speaking something you know the BIM software you are most familiar with does, that, in-general, all BIM programs do that.  When it actually comes to specific features, that is what the booths in the BuildBoston exposition are for, so if audience member's (or your fellow speakers) questions get too specific, we all should refer them to speak with the various CADD dealers who have paid for those booths for that purpose.

The rhetoric between the BIM camps has also even been exclusionary, sometimes claiming that this or that competitor is not truly BIM - when the actual definition of what BIM is seems to be interpreted in differing ways.
Your colleague speakers were asked to share their experiences, good and bad, to help give us all some insights.  Please endeavor to be tolerant, and open-minded.

Advertising

The BSA, who runs the workshop seminars at BuildBoston, specifically discourage overt advertising of products in the seminars.  The idea is that vendors who wish to advertise can get booth space at the expo show, and can also advertise in a wide variety of other ways.  The seminars are for professionals to share their experience.   Given our "omni-BIM friendly" mission, your comments should be general.  However, it is indeed useful for our audience to know what software you are doing this and that in, so in this case, yes it is ok to tell us what you are using, and even demonstrate what you need to to illustrate your comments.

Visuals

You should have at least one image, with your company name.  If you are using PowerPoint slides, Web or Flash animations, or simply "jpegs in a folder"  please do edit them down to the essentials given our limited time.
Preferably, you should bring any such visuals on a CD or USB Flash memory key, and before-hand, load them onto our presentation computer.
If you are using an unusual file format and are uncertain it will run properly on a different computer, you are welcome to bring a laptop.  Keep in mind that even 20 seconds to switch the digital projector between computers starts to look pretty long (worse yet if you need to re-start).
Keep in mind that, if you intend to actually RUN any CADD or BIM software live, that things always take longer than you think (and murphy's law).  If there is something dynamic you simply must show, seriously consider recording it beforehand (with something like Camtasia) and also plan what you would say while it runs.

Note, we will provide every audience member with a CD, which will have the outlines, articles on BIM, and links to web sites, so should you wish to display some image or animation, we can give them the link to it to review after the symposium.

Symposium CD

The Symposium CD is provided in lieu of a paper handout.  On it, will be the actual roster of speakers, links to their company web sites, many written articles on BIM, as well as links to online articles on BIM.  Links to the various CADD companies that create the BIM software, links to schools and tutorial sources, demonstrations, and evaluation versions of the software.

If you have something which you believe can or should be included on the CD, please let us know as soon as possible.  We will begin burning the CDs on Thursday 11/9.

As of last week, the workshops, so far, have registered :

From experience with past BuildBoston seminars, the actual final numbers on 11/14 can be almost double that number.


Speaker Badges

Several of you have joined our speakers panels after the October 20, cut-off date for advanced registration.
You will need to go to the Speakers reception desk at the front of BuildBoston to get your badge.  They will have you on a list.  If you already have received a badge in the mail, go to the Speakers reception desk anyway, and they will print you another badge  (it will have your new sessions on it).


Speaker Benefits

The BSA does not pay speakers.  The only benefits are that speakers can register for up to three other workshops (normally $85 or so) for free.  If you want this benefit, you will need to tell the person at the Speakers reception desk which seminars you wish to attend  when you get your new Speaker badge.
There is a hidden reception room just for speakers, with coffee and a good view, where you can review your slides and meet with us.

The opening survey of audience

There will be two survey forms for each workshop.  One, is the usual one for all BuildBoston workshops, which they fill out at the end, which gives us a review of how well we did, and whether we should attempt to do it in future years.  The second is one just for the BIM Symposium, which they fill out at the BEGINNING while waiting for us to start.  It mainly is to give us a better feel for their situation and needs, so that we can address our comments accordingly.

Informal discussion-forum, for 30 minutes, on topics announced, following the first three workshops.

Note, the discussions could possibly go longer.  There is at least an hour between each BIM workshop.  The final workshop ends at 8:00 pm.  They frequently start locking up the building around then.
